ClassBillr Privacy Policy

ClassBillr ("the App") is a class attendance and fee management app used by training institutes (Institute Admins, Staff) and the parents of their enrolled students. This policy explains what information the App collects, how it is used, and how it is protected.

Information we collect

• Account identifiers: mobile number and a 4-digit PIN for each Institute Admin, Staff, and Parent account. The PIN is stored only as an irreversible cryptographic hash — the App never stores or transmits your PIN in plain text after it is first set.
• Student and parent details: student name, parent name, and parent mobile number, entered by institute staff when enrolling a student.
• Attendance records: the date and status (attended/unattended) of each class a student is marked present or absent for.
• Fee and billing records: enrollment fee amounts, billing cycle details, invoices generated, and payment status (outstanding, pending verification, or paid).
• Institute branding: an institute's own logo image, if the Institute Admin chooses to upload one.
• Standard server logs: IP address and request timestamps, collected automatically by our hosting infrastructure for security and debugging, as with any web service.

Payments

ClassBillr does not process, store, or have access to any payment card, bank account, or UPI credential. When a parent chooses to pay a fee, the App generates a UPI deep link to the institute's own UPI ID (configured by that institute) and opens the parent's own UPI app (Google Pay, PhonePe, Paytm, etc.) to complete the transfer directly between the parent and the institute. ClassBillr only records whether the institute has confirmed a payment as received.

Biometric unlock

If you enable Face ID or fingerprint unlock, this authentication happens entirely on your device using your device's own operating system. No biometric data is ever collected, stored, or transmitted to ClassBillr's servers.

How information is used

Information is used solely to operate the App's core functionality: tracking attendance, calculating and presenting fee invoices, and letting parents and institute staff view the relevant records for their own institute/students. We do not use your information for advertising, and the App does not display third-party ads.

Sharing

We do not sell or share your personal information with third parties for marketing purposes. Data is only visible within the institute it belongs to (multi-tenant isolation), plus the platform operator for account support and billing administration.

Data retention and deletion

Records are retained for as long as an institute or student's enrollment is active, plus a reasonable period afterward for billing history. To request deletion of your personal data, contact us using the details below.

Children's data

The App is used by adults (institute staff and parents) to manage a child's attendance and fee records on the child's behalf; it is not directed at or knowingly used by children themselves.

Security

All traffic between the App and our servers is encrypted (HTTPS/TLS). PINs are hashed using bcrypt before storage. Access to institute data is restricted by role-based permissions.
